Volunteer Information

Volunteer Procedures

  • All volunteers should check-in upon arrival in the kitchen of the main church building. Check-in will now be done on the iPad, rather than paper. This check-in process allows volunteers to review and agree to our Photo and Social Media Release, and for parents of minor volunteers to review and agree to our Minor Waiver. We can use the form to better access volunteer contact information in order to keep everyone up-to-date. Lastly, in the event of a positive COVID-19 case among volunteers and/or staff, this will allow for quicker and easier contact tracing.
  • Due to numerous safety concerns, all doors will remain locked until the assigned work time. A staff member will unlock the doors needed for each particular shift. Please enter through the kitchen door from the alleyway.
  • At the beginning of each new shift, Yohan will greet volunteers and give them each an assignment.
  • If there is an active thunderstorm or Tornado Warning in our area, we cannot safely operate the drive-thru. Should we find it necessary to close, we will notify all scheduled volunteers as soon as possible. We will also make an announcement on social media, a notification on our website, and a recording on our voicemail.

Minor Volunteers

Adults 18 and over may assist anywhere in the pantry. While we welcome all ages of volunteers, this may not be the right opportunity for younger children. With that in mind,

  • Graduated 8th graders and older minors must first volunteer with a parent/guardian to assess their ability to volunteer independently. Should the staff affirm their ability to volunteer independently, they will be given a waiver form at the end of their first shift.  For future shifts, these volunteers will need to bring a signed waiver form which includes emergency contact information for an adult immediately available.
  • School-aged children K-8 grade may volunteer if accompanied by a parent/guardian.
  • Volunteer opportunities for families will occasionally become available and will be posted on our Sign-Up Genius.

Training Opportunities

Pantry Trak

This workshop will provide the fundamentals to get started with Pantry Trak at your agency. Participants with learn how to administer the intake process using Pantry Trak and will be guided on best practices for developing an efficient process in registering your clients. *For agencies already using Pantry Trak, this workshop will be helpful as a refresher of the basics.

  • Training will be held virtually via ZOOM. Once you have registered you will be sent the link for the Zoom approximately 48 hours prior to the training session.
  • Please make sure you register with your name, email address and phone number as well as your Agency Name and ID Number (Heart to Heart 1042)
  • At this time there is no registration fee to attend – FREE!
  • Space is limited! No more than 35 individuals may register.

The Pop Up Pantry team delivered food directly to clients and their families at the following agency sites during the month of May:

This month the Pop Up Pantry planned to begin serving a new agency site, Wedgewood Village Apartments, a large, subsidized housing complex in the Hilltop area.  Unfortunately, staffing issues at the site necessitated the cancellation of our deliveries on May 20 and again on May 27.  We are working to reschedule this site during June and continuing with our expansion plans for new sites over the next few months.

We’re grateful to be working with Monday Meals for the Homeless and Share and the Learn Garden teams who have generously donated bread and produce respectively.

We continue to be blessed by the opportunity to serve families within their local communities and look forward to expanding the Pop Up Pantry to further the ministry of Heart to Heart and First Community.

New this Summer

We have been invited to participate in the Upper Arlington Farmer’s Market this year on the first Wednesday of the month. Volunteers will be invited to join staff members at the booths to collect donations and distribute information about our mission. Sign up for June 2,  or July 7, 3:30 – 7:30 pm.

Schedule Changes

Please note these changes in regular volunteer shifts going forward:

  • Starting May 24, we will pick up our semi-monthly order from Mid-Ohio Foodbank at 3 pm. This means the unloading time now start at 3:30 pm. We expect we can unload everything by 5 pm.

Hopefully, this time change will allow more volunteers to participate.

We are working as a team to create a schedule for when there is a Monday holiday. We are hoping to create an alternative schedule that allows us to have the holiday off while still being prepared to serve clients on the following Tuesdays.

Our first trial run of this new plan will be for Memorial Day, May 31.  We understand not everyone will be able to make the change, but we will try this out for Memorial Day and see how it goes. We will cancel all shifts Monday, May 31 and add the following:

  • Friday, May 28, 11:30 am – 12:30pm Preshop Shift
  • Tuesday, June 1, 7:45 am – 8:30 am Direct Retail Pickup from Giant Eagle
  • Tuesday, June 1, 8:30-10:30am Stocking Shift

Rev. Sarah Kientz has been leading the Wednesday night drive-thru volunteers since the shift started in November. Thanks to her leadership of the youth and young adult volunteers, we are able to serve more clients weekly by making our pantry more accessible. Sarah will be leaving us and heading to Camp Akita next week, where she will spend the summer with the staff and campers. We will see her back here in the fall to volunteer again. In the meantime, you’ll see Rev. Kate Shaner at the helm on Wednesday nights.

  • We are asking all volunteers to review our COVID-19 Policy. Please do not come in if you are experiencing any symptoms of illness. Please notify the staff if you have recently volunteered at Heart to Heart and you’re currently being tested for COVID-19 or actively in quarantine.   • If there is an active thunderstorm in our area, we cannot safely operate the drive-thru. Should we find it necessary to close, we will notify all scheduled volunteers as soon as possible. We will also make an announcement on social media, a notification on our website, and a recording on our voicemail.

Schedule Changes

Please note these changes in regular volunteer shifts going forward:

  • Tue/Thu 10am-12:30pm (changed from 10:30-12:30). During Pantry Hours, we are asking the second shift to come in earlier to have time for a smooth transition.
  • Monday Mid-Ohio Foodbank Shop Thru is canceled.
  • Shop Thru will now take place Tue/Thu at 7:45 am, and Wed will remain at 1 pm.

We are working as a team to create a schedule for when there is a Monday holiday. We are hoping to create an alternative schedule that allows us to have the holiday off while still being prepared to serve clients on the following Tuesdays.

Our first trial run of this new plan will be for Memorial Day, May 31.  We understand not everyone will be able to make the change, but we will try this out for Memorial Day and see how it goes. We will cancel all shifts Monday, May 31 and add the following:

  • Friday, May 28, 11:30 am – 12:30pm Preshop Shift
  • Tuesday, June 1, 7:45 am – 8:30 am Direct Retail Pickup from Giant Eagle
  • Tuesday, June 1, 8:30-10:30am Stocking Shift

We have been invited to participate in the Upper Arlington Farmer’s Market this year on the first Wednesday of the month June through October. Volunteers will be invited to join staff members at the booths to collect donations and distribute information about our mission.

This workshop will provide the fundamentals to get started with Pantry Trak at your agency. Participants with learn how to administer the intake process using Pantry Trak and will be guided on best practices for developing an efficient process in registering your clients. For agencies already using Pantry Trak, this workshop will be helpful as a refresher of the basics.

Virtual Food Safety is a terrific option especially during this time when we are not hosting in-person training’s through the Agency 360 program due to Stay At Home conditions and Social Distancing. Mid-Ohio Foodbank has teamed up with the OSU Extension office of Belmont County who previously has hosted Food Safety classes for our eastern agencies. With virtual training, all partners who require Food Safety 101, in all counties are able to participate.

Once you have registered you will be sent the link for the Zoom approximately 48 hours prior to the training session. Please make sure you register with your name, email address and phone number as well as your Agency Name and ID Number (Heart to Heart agency #1042).

  • All volunteers should check in upon arrival at the Crane Center inside the main church building. Check-in will now be done on the iPad, rather than paper. This check-in process allows volunteers to review and agree to our Photo and Social Media Release, and for parents of minor volunteers to review and agree to our Minor Waiver. We can use the form to better access volunteer contact information in order to keep everyone up-to-date. Lastly, in the event of a positive COVID-19 case among volunteers and/or staff, this will allow for quicker and easier contact tracing.
  • Due to numerous safety concerns, all doors will remain locked until the assigned work time. A staff member will unlock the doors needed for each particular shift.
  • In the Crane Welcome Center, you will sign in, get your PPE, and read any notes for the day on the whiteboard.
  • Make yourself a nametag and wear it on your outermost layer.
  • Remember to dress appropriately for outdoor work (check the weather before you leave home). Closed-toe shoes are required.
  • Prior to your arrival, review the requirements/description of your volunteer activity online at h2h.fcchurch.com/volunteer-opportunities

The Pop Up Pantry team delivered food directly to clients and their families at the following agency sites during the month of April:

  • April 14:    Hope Recovery Services-35 clients
  • April 21:    Southpoint Village Apartments-35 clients
  • April 28:    Commons at Grant-20 clients

In addition to food, our Pop Up Pantry was able to provide clothing items to clients at Hope Recovery Services.  Produce from the Share and Learn Garden was distributed at one of our sites this month

On April 14, our team met with Amy Caskie to update Heart to Heart leadership on plans for expansion of the Pop Up Pantry.  We anticipate adding one new agency site in May followed by additional sites up to 4 during June and July. With these new sites, the Pop Up Pantry will operate two days a week, Wednesdays and Thursday afternoons.  Training for volunteers who’ve expressed interest in the  Pop Up Pantry will be done prior to the implementation of new agency sites.

We look forward to expanding our Pop Up Pantry to better serve families within their local communities and are grateful for the ongoing support of the Heart to Heart leadership.

You will learn best tips and tricks in navigating common barriers to assisting individuals.

Announcement Letter from Mid-Ohio Food Collective

Pop UPdate

The Pop-Up Pantry team delivered food directly to clients and their families at the following agency sites during the month of March:

  • March 3:     Commons at Livingston-36 clients
  • March 10:    Hope Recovery Services-30 clients
  • March 17:    Southpoint Village Apartments-35 clients
  • March 24:   Commons at Grant-20 clients

Our Pop-Up Pantry continued to provide clothing items and sleeping mats provided by Mat Makers for homeless clients at Hope Recovery Services.  We were able to provide onions and carrots from the Share and Learn Garden to one of our sites last week.

We continue to be blessed by the opportunity to serve clients in their local communities and for the ongoing support of the Heart to Heart leadership.

Important Notes

  • All volunteers should report to the Crane Welcome Center in the main church building upon arriving.
  • Due to numerous safety concerns, all doors will remain locked until the assigned work time. A staff member will unlock the doors needed for each particular shift.
  • In the Crane Welcome Center, you will sign in, take your temperature, get your PPE (see note), and read any notes for the day on the whiteboard (see photo).
  • Make yourself a nametag and wear it on the outside of all your layers.
  • Remember to dress appropriately for outdoor work (check the weather before you leave home).
  • Prior to your arrival, review the requirements/description of your volunteer activity online at h2h.fcchurch.com/volunteer-opportunities
  • All volunteers are required to sign up online using Sign-Up Genius.

Cancellation Procedure

We are asking all volunteers to review our COVID-19 Policy. Please do not come in if you are experiencing any symptoms of illness.

Please notify the staff if you have recently volunteered at Heart to Heart and you’re currently being tested for COVID-19 or actively in quarantine.

If you are unable to attend your assigned shift, let us know as soon as possible so we can fill the spot with another volunteer.

Important Note

Ohio’s weather awareness week is March 21-27.  Part of the awareness is a state-wide tornado drill Wednesday, March 24 at 9:50 am.  It is important for everyone on-site to participate in this drill.  The city sirens will alarm for three minutes.  Please plan on masking, moving safely into the designated space based on your location, and remain in place until released.

PantryTrak

This workshop will provide the fundamentals to get started with Pantry Trak at your agency. Participants with learn how to administer the intake process using Pantry Trak and will be guided on best practices for developing an efficient process in registering your clients. *For agencies already using Pantry Trak, this workshop will be helpful as a refresher of the basics. Each session will be led by: Tammy Tucker, Agency Relations Manager – Agency Services, Mid-Ohio Food Collective.

Ohio Benefits Training

Customer Outreach Manager, Food Assistance.

Participants in this training will gain a better understanding of ways to connect eligible individuals to SNAP Benefits, including the ability to pre-screen and use Ohio Benefits Self Service Portal. Participants will be able to determine the right outreach strategy for their agency.

Participants will discuss ways to connect clients to social Benefits such as SNAP/Medicaid/ and OWF. Participants will take away how to submit SNAP/ Medicaid/ OWF benefits using Ohio Benefits Self Service Portal. Best tips and tricks in navigating common barriers to assisting individuals.
